Questions and Special Arrangements
The Instrumental Music Program is a very important part of the school curriculum at Eltham High School. It is not seen as an added extra, but is an integral part of a student’s total development at Eltham High School. The Instrumental Music Program provides valuable instruction and teaching on a wide variety of instruments, as well as outstanding opportunities for skill development in an extensive ensemble program. The program is recognised as one of the finest of its type in Australia. With this reputation already established, we are continually working hard to improve on the excellent program offered.
Participation in the Eltham High School Instrumental Program is conditional upon students being enrolled in the program and that the student and parents agree to the requirements outlined in this Handbook.
All students participating in the Instrumental Music Program must take lessons, either privately or with a teacher from Eltham High School, and perform in one of the school’s principal ensembles:
Training Band
Intermediate Band
Concert Band
Symphonic Band
Guitar Ensemble
String Ensemble
A number of other ensembles will operate in the program depending upon interest from students and staff availability. These include Stage Band, Jazz Band, Clarinet Choir, Flute Ensemble and Saxophone Ensembles. Participation in any of these school ensembles will be in addition to the large ensemble.
Students are expected to attend all performances, rehearsals, workshops, camps and tours scheduled for their ensemble(s). A performance schedule will be distributed in February for each ensemble. Students are expected to attend all activities. We strongly recommend that this schedule be included on the family calendar in order to avoid potential clashes. If your family is already otherwise committed for any of these dates, naturally family commitments will take priority, just as it would be expected that band dates would be honoured over other commitments, which may come up at a later date.
All students participating in the ensemble program, including those having lessons outside the school, are required to pay the designated fees by the nominated dates (see Fees and Costs).
To further assist in your child’s musical development, we ask that you encourage your child to attend as many live concerts featuring their instrument as is possible.
Lessons are offered on all orchestral instruments: woodwind, brass and percussion. Lessons will normally be in small groups and will occupy one school period per week. Students are responsible for attending their lessons according to their timetable. So as not to disrupt normal classes, students will not be called from classes to attend music lessons. All students will have a minimum of 30 lessons a year. Students are required to attend all lessons, be prompt, and have all necessary equipment and an instrument in full working order.
Individual lessons are provided for VCE students taking Music Performance as a subject.
All students taking lessons through the school are required to participate in the Ensemble Program, described in this handbook.
Tuition is planned and staffed for the full academic year, and therefore students are expected to make a commitment for a full year’s tuition. If withdrawal is necessary for any reason, notification should be made in writing one term in advance. Fees must be paid to the end of the current semester (see Fees and Costs).
Timetables are posted on the noticeboard in the foyer of the Music building. They should be consulted regularly through the week for changes. A rotating timetable is applied where possible, ensuring that students do not miss the same subject in consecutive weeks. VCE students will have a set time each week, which does not clash with other subjects.
Please give as much advance notice of absences as possible by telephoning the Music Office, or by contacting the teacher concerned. This will allow the teacher to better use any vacant periods. Requests for absence from band, orchestra, rehearsals and performances must be in writing to the Director of Music.
Practice must be daily, regular and consistent to take full benefit of the tuition. All music staff ask for parental support to establish and maintain an effective practice schedule. Practice diaries are to checked weekly by parents and signed.
Students will present for an internal instrumental assessment at the end of each semester. Teachers may encourage students to enrol in external music examinations such as the Australian Music Examinations Board. An accompanist fee will be applicable for students undertaking external practical examinations.
The Music Support Group runs a Second Hand Instrument Register. This assists students who may be up-grading their instrument and wish to sell their ‘beginner’ instrument. An annual fee of $5 is charged for inclusion in the Second Hand Instrument Register. Those wishing to take advantage of this opportunity may collect the relevant form from the Music Office.
Parents and students wanting to purchase a second hand instrument should contact the Music Support Group for details of instruments available for sale.
Privately owned instruments are to be insured by the owner. The school cannot accept responsibility for loss or damage either in transit or on school premises. Although instruments hired from the school are insured, an excess of $500 applies. Payment of the excess is the responsibility of the hirer. Conditions do apply that are outlined on the instrument hire form.
Tuition is offered to Eltham High School students and other young people within the community, in guitar, piano, drum-kit and orchestral instruments. Please contact the Music Faculty office for further information about this program.
The Music Faculty takes great pride in the appearance and presentation of all our performing ensembles. The Music Support Group has gone to a significant amount of effort and cost to enhance the uniform of each performing ensemble with sashes, bow ties and vests for the various groups. These will be issued at the beginning of each year and will be the responsibility of each student for the entire year. Parents will be responsible for the loss or damage of any uniform accessory provided and will be charged a fee for any such loss.
To further enhance the performance uniform, there is a uniform shirt/blouse for both boys and girls. New students will be required to purchase these from the nominated supplier.

A limited range of second-hand uniforms (shirt/blouse, skirts, dress pants and vests is available for purchase from the Music Support Group.
As students become involved in the Instrumental Music Program their parents are invited to join the Music Support Group. The Music Support Group is an active and supportive body of parents whose function is to assist the Instrumental Music Program through special fundraising, stage management, equipment transport and the provision of special services. An elected committee coordinates activities and reports to School Council.

All children participating in the Eltham High School Instrumental Music Program must be enrolled in the program. An Enrolment Form is included with this handbook.
The Instrumental Music Program is largely self-funded from the fees paid by parents with children enrolled in the program. Eltham High School has two music teachers on staff and an administration assistant who provides direct support to the music program. There are approximately 17 other music tutors contracted by the Eltham High School on behalf of children enrolled in the music program. The salaries of these tutors are paid directly from the income received through music program fees. Other costs (purchase of music, stationery, photocopying, postage, telephone, etc) are also met from this income.
As instrumental music tutors are contracted for each semester (i.e. per half year), music charges are levied per semester and must be paid by the due date. The only exception is as a result of special arrangements made in advance with the School Business Manager. Please understand that, as the school has contracted the music teachers on your behalf. Non-payment by the due date will mean that your child will be withdrawn from the music program.
Following enrolment, it is expected that your child will remain in the music program for the year. Under extenuating circumstances, and following consultation with parents and the Director of Music, students may leave the program. However due to contractual arrangements with music tutors, the full fee for the commenced semester must be paid.
The Eltham High School music program conducted during school hours is an elective within the school curriculum and therefore is not subject to the GST. The separate After School Music Program is not curriculum and thus attracts GST.

Private music tutors charge by the term for eight lessons. The school provides limited administrative support to facilitate the After School Music Program including invoicing parents on behalf of the music tutors. As After School Music is not part of the Eltham High School curriculum, GST will apply.

Costs may increase nearer to the activity. Based upon the best information at the time of printing, the above figures provide an estimate of the likely costs. Confirmed details will be provided prior to the event. Payment must be made prior to students participating in the activity.
For intra and interstate tours a payment schedule is available. An initial deposit of 50% is due 8 weeks prior to the tour. Two further instalments of 25% are due 4 weeks and 1 week prior to the tour.
Other Costs
Costs for Band photographs at various competitions are an added extra.
Purchase of performance uniforms (see Performance Uniform)
Australian Music Examinations Board (AMEB) fees for examinations and for accompanists. For those students who elect to take exams administered by the VCE Music Performance students also pay an accompanist’s fee for their performance solos. Accompanist rates for 2008 are not yet set. This includes two rehearsals and the examination, conducted throughout the year commencing in April. Payment is due on enrolment for the exam.
VCE music students undergo assessment in solo performance. The solo performance is accompanied by a pianist, who also undertakes one or more rehearsals with the student. The accompaniment and rehearsals are to be paid beforehand by the student. Solo performances are held in June and October.

Each student must be enrolled in the music program by completing the Enrolment Form. If an enrolment form is not received by the due date, students will not be permitted to take part in the music program.
Enrolment and Payment Forms are available from the Music Office and online.
Payment is to be made to the Cashier by the due dates. Payment can be made by cash, cheque, credit card or EFTPOS facilities. All payments for levies, camps, excursions, etc, must be accompanied with the appropriate form and returned to the Cashier.
